“How do I manage my offshore team?”
Either you are new or already experienced in offshoring, I know that this question has already crossed your mind.
It looks hard and quite impossible since you are to manage a team that is working far away from you or not physically working beside you.
Believe it or not, we have a solution to your problem. I will share with you these 7 simple steps for a disaster-free offshore workplace.
1. Assign Team Leaders
A team leader will be your partner who can oversee your staff while you are away. Get someone who knows your employees’ culture and has an experience managing an offshore team.
In this way, you can be assured that the team is doing their tasks the right way with the right supervision.
You can then meet or chat with all of your team leaders and come up with a plan on how to manage your offshore teams effectively and properly.
2. Organize Team Building Activities
Who doesn’t like team building activities? Aside from you are off from your normal day-to-day tasks, you also get to have fun with your colleagues!
Team building is a good way to give your employees fun and leisure. Not only that but it also gives them time to bond and develop connections. This will help your employees get more motivated to work and it will help them develop a closer relationship with their teammates or even with their colleagues from other departments thus, helping to manage your offshore team easier. With this, they can develop deeper teamwork with each other in completing their tasks.
You can arrange a corporate get-together on a quarterly basis or every 6 months and involve them in practical games, icebreakers, and even all-expense paid trips.
3. Communicate. Communicate. Communicate.
Having a closer relationship with your employees is hard especially if you are distant from them. To solve this problem, the answer is to communicate often.
Aim to communicate to your employees every day via video chat or personal messages. This way you can check in with their progress and it makes them feel comfortable talking with you.
4. Set Regular Meetings
If you want to manage your offshore team properly, you have to be updated on what is happening to them. You can do this step by setting up a meeting with them. Meetings can be done within the company, a specific department, or through one-on-ones.
- Company meeting/Company huddle – An assembly of all the employees of the company – both onshore and offshore – to discuss their insights, suggestions, or updates. You may also include reporting of goals, progress, important news, or statistics. Usually, this is done through instant messaging apps with conference and video chatting feature.
- Department meeting – This type of meeting is exclusive to a specific department only. It is perfect if you want to discuss a project being worked on by them or sharing news for that department.
- One-on-ones – These are personal meetings per person. This definitely is the go-to choice to discuss something that the other employees should not know about. It can also be effective to discuss your employee’s feelings or comments about work or anything that either bothers him or comforts him.
5. Use Task Management Softwares
Tracking and bringing tasks of your employees together is really tedious and confusing. What more if they are offshore? One great solution for this is to use a task management software.
A task management software helps you and your employees work and collaborate on the tasks better. You can upload the tasks and just assign it to the employee. Also, you will be able to see each task’s details, progress, and completion.

6. Reward them for a specific goal
If you haven’t set your goals yet, you have to. This way, you and your employees can look forward to something. Trust me on this, your employees will be more motivated to work and achieve that goal set before them.
In this step, after setting your goals, consider giving your employees rewards after completing their tasks. I know you will agree that happy employees are easier to manage. Right?
It doesn’t matter if the reward is through monetary, gifts, vouchers, or a day off to spend time with their families. What’s important is that you show them that their efforts mean so much in the success of the company.
7. Visit your offshore team
This step plays a big part in creating a good relationship with your employees offshore.
Meeting them in person can strengthen your connection with them instead of just chatting online. In addition to that, you can take advantage of learning their culture and strengths, observing how they perform in their local working environment, and discuss issues that need an answer in person.
